Teknei is a technology company born in Mexico in 2010 and established in Spain in 2011. Teknei’s specialization is around four areas: Enterprise Content Management (ECM), Robotic Process Automation (RPA), Cyber Security, and Blockchain/Digital Identity. Our main customers are in the finance, insurance and public administration sectors.
In 2018, Teknei acquired my small company (named FSI), which specialized in RPA. FSI became the RPA division within Teknei, and I have been leading this division ever since.
What is your background in RPA?
I started with Robotic Process Automation (RPA) before the term ever appeared in the market. The first RPA software I worked with was Kapow (now it is Kofax RPA). I became fascinated with how RPA could speed up integration projects and how things that were done manually could be done in an automatic way.
Before starting my own company, I worked within the finance and insurance sector and there were plenty of use cases in which this technology could be applied. There are lots of business applications that don’t have open APIs, and meanwhile, lots of people are doing things manually across multiple systems.
How did you find out about Robocorp? What appealed to you most?
I am always looking for new technology and testing new tools. I heard about Robocorp on LinkedIn and saw a video on YouTube. I also read it was based on Robot Framework. Ultimately my research work led me to realize it was an interesting and solid platform for my customers.
What I found most compelling was the way Robocorp talks about its initiative. It’s impossible to ignore all the hours, days and human potential wasted doing what software robots could do. The demand for automating digital routines is limitless, there is an opportunity of vast proportions for personal and professional development, however that shouldn’t be limited by the industry’s tools. I believe the time to harness the power of software robots is now and with their open source solution Robocorp is addressing the issues of accessibility, scale, and brittleness commonly found behind the curtain of RPA implementations.
About your first project with Robocorp
By the time I found Robocorp I was developing a project for several customers in Spain. The project was related to Human Resources and the process of enrolling new employees.
Small and medium businesses hand over these new employee processes to specialized companies that do the accountancy, tax registration, and all the interactions with government departments related to new enrollments and changes in labor contracts.
These processes around labor contracts require people to interact with more than three different environments and applications. Also, 24 hours after the information is sent they have to come back to the previous system to obtain a "proof of presentation”.
The process we are implementing with Robocorp solves the issue end-to-end of these painstaking tasks. This time and cost saving automation will be used by a number of companies, run using different infrastructures, and the flexibility of Robocorp’s platform perfectly enables that.
Why did you decide that Robocorp was a good fit for this project?
Track and trace is essential in these kinds of processes. Also, the way you configure the steps within the process and the environments in which every step must be executed is crucial.
Robocorp Cloud allows me to manage the entire process from a central repository, we can use work items to orchestrate the entire process and every step can be run in a different environment depending on the requirements.
How long did the entire process evaluating Robocorp, learning, and building this first project take?
Less than 4 weeks. Coding took of course much less but we needed to understand the Robocorp approach and how to make use of all the available libraries.
What were the results of the robot?
Interacting within multiple systems is a huge pain for users, having to enter the same data into three different systems. It took more than five minutes for each new employee record to be added to the three systems, cumulatively there was a massive opportunity to save time and eliminate errors.
The Robocorp approach, based on work items, allows us to control every new enrollment individually and have track and trace and audit information about every step in every system for every new employee. This is very important for us and for our customers.
We have built, as part of the project, a new web user interface where the company enrolling the employee can enter the data and then wait for the robots to process it and inform about the results.
This approach frees up all that wasted time and allows the companies implementing these processes to concentrate on the more important things while handing over to the robots the repetitive, mundane, boring and error prone tasks.
This approach also allows us to orchestrate all the work around more than one ERP system. External BPO’s work with more than one system and all this can be configured freeing users from manual “check and act” work.
What is Teknei’s business model surrounding Robocorp’s technology?
Our model with these accountancy and labor agencies is to charge them an implantation fee and also a monthly fee based on the number of executions they require. This is our first approach but we are here to listen, learn and deliver a better solution for our customers.
From the client’s perspective what is the best deliverable that Robocorp is helping you provide?
The Robocorp commitment to democratizing RPA makes sense in the Spanish market and in the business process outsourcing (BPO) sector. You have provided accessibility for organizations who wouldn’t have been able to utilize automation otherwise.
This project is about BPOs, specialized in labor tasks, being more efficient. In this case, the process being outsourced is employee enrollment but it could be any other process. With Robocorp the initial investment is lower and the payment schema allows the BPOs to grow with us and the implementation. The valuable result for the BPOs is that with automation a reality, their teams now focus on value, and not repetitive tasks.
What does the future hold in terms of working with Robocorp? Is there anything we could do better?
The technology is fantastic, the team is always willing to help and to receive feedback. It is very easy to work with Robocorp. I am happy to be contributing in several areas; monitoring and reporting, installation and setup, my voice is always heard.
I cannot see anything you can do better, but the best thing is that if I found it, I could let you know in seconds and I will probably receive some immediate feedback. The Robocorp attitude of instant and open-minded responsiveness is magic for me.
What advice would you give other Robocorp partners?
There is so much that exists already. Try the platform, read the documentation, the examples and tutorials. Don’t hesitate to bring a project to the table, ask for help and advice, you will surely see the value and ease of using Robocorp!
